Collection Inventories - Overview

A collection inventory is a list of materials in a particular collection. It consists of the following elements:

  • Administrative History – brief history of the organization that created the records.
  • Description – brief description of the records.
  • Dates – of the records
  • Extent – amount of records, generally expressed in cubic feet.  Smaller collections are described by number of folders.  Also lists oversize materials and special formats such as electronic files.
  • Subject Analytics – subject terms that can be used in the KenCat database to find additional materials of interest.
  • Digital Commons – curriculum subject terms used in TopScholar that can be used to find additional materials of interest.
  • Allied Materials – links to related records such as photograph collections.
  • Accession Information – how the records came into WKU Archives.
  • Access Restrictions – list of restrictions due to confidentiality, format issues or fragility.
  • Preferred Citation – citation to be used when asking for access to these records again. Also can be used when citing a document from this collection in a report.
  • Processing Information – initial date of creation of inventory and revision dates.
  • Container List – gives the following information;
    • specific box / folder number,
    • creator
    • dates of documents within folder
    • descriptive title of folder contents
    • list of names / documents within folder – will contain links to digitized documents
    • subjects

Fraternities, sororities and student organizations are not obligated to turn records over to WKU Archives.  The bulk of the records we have for these groups are created by the office of Student Affairs and have been transferred to WKU Archives according to the records retention and disposition schedule.

Bowling Green Business University:

Bowling Green Business University split off from WKU in 1906 and came back into WKU in 1963 as the College of Business. During the time it was an independent business college/university there were several homegrown fraternities and sororities created by the students. Some of these early fraternities & sororities became WKU fraternities & sororities after the merger.

Honor / Service Fraternities / Clubs / Organizations

Honor societies, service fraternities, and student organizations are under no obligation to transfer records to WKU Archives. The records we have generally come from the office of Student Life or individual donors. If there is no link here, there may be information regarding the group in the College Heights Herald, yearbooks or other records housed in WKU Archives.
